POSITION SUMMARY
The Development & Operations Coordinator (DOC) reports to the Executive Director and oversees the day-to-day operations of WPSR and provides administrative, operational, fundraising, and membership development support to the Executive Director, board, & staff. As the first point of contact for those contacting WPSR, the DOC sets the tone for people’s experience with the organization. Great communication skills, a positive attitude, attention to detail, and the flexibility to adapt to changing needs and priorities are essential for success in the role.
This is a full-time, non-exempt position based in our North Beacon Hill, Seattle office, but with significant opportunity for remote work. Periodic evening and weekend hours are required, namely in conjunction with WPSR events.
OPERATIONS RESPONSIBILITIES (20%)
Coordinate WPSR operations, including creation and updating of office procedures, maintain office supplies, process mail, handle basic banking, maintain online filing systems, and ensure the smooth functioning of our systems and equipment.
Welcome and assist callers and visitors, respond to general emails and voicemails, and serve as the primary point of contact with vendors and contractors.
Maintain the condition of and coordinate staff in supporting the regular upkeep of the office.
Support staff onboarding and training processes, internal meetings, and staff recognition.
Perform other operations and administrative functions as needed, such as scanning, photocopying, filing, inventory, and data entry.
COMMUNICATIONS RESPONSIBILITIES (35%)
Lead WPSR’s communications strategy, including oversight and integration of WPSR brand identity into written and electronic (email, web, social media) communications
Support the production and updating of materials for donor outreach, fundraising campaigns, and program-related communications
Produce occasional reports/presentations for board meetings and the Executive Director
Actively manage and document donor, sponsor, and institutional funder relationships, actions, and notes to assure accurate, timely, and consistent donor engagement and communications
DEVELOPMENT RESPONSIBILITIES (35%)
Support the operational and administrative aspects of WPSR’s development & fundraising work including donation and payment processing, database and data management, and donor/member communications
Support the Executive Director, consultants, and others in organizing and executing WPSR’s major annual fundraising event, and other events as requested
OTHER RESPONSIBILITIES (10%)
Train and equip staff, board members, and volunteers with the knowledge, tools, and support needed to effectively engage in communications, fundraising, and membership engagement
Contribute one’s own ideas, perspectives, and lived experiences to the emerging culture and ongoing programmatic work and organizational development of WPSR
Assume other responsibilities and explore new opportunities that arise with the evolving needs and aspirations of the organization
QUALIFICATIONS/REQUIREMENTS
Approximately two years of experience in administrative or operational settings, or equivalent experience
Experience providing logistical or clerical support to teams and individuals
Demonstrated success juggling multiple projects at a time
Ability to be self-directed, take ownership, and see projects to completion in a timely manner
Strong verbal, non-verbal, and written communication skills, and customer service orientation
Experience creating systems and processes to improve service and promote access
Ability to authentically connect WPSR’s mission with one’s own personal experiences
Demonstrated ability to cultivate relationships and work effectively and respectfully with politically, ideologically, culturally, and geographically diverse people and communities
Proficiency with Google Suite/Workspace, Canva, CRM/donor database experience, PDF platforms, spreadsheet management and an ability to learn and adapt to new technologies
A desire to learn about the issues WPSR works on
Humility, curiosity, and an understanding of how these qualities relate to success in this role
Ability to take part in occasional meetings and events outside of normal business hours
COMPENSATION & BENEFITS
The anticipated starting pay for this position is $28-30 per hour. Starting salary depends on qualifications and relevant experience.

Paid leave starts at 2 weeks per year, and increases to 3 weeks after 1 year of continuous service, and to 4 weeks after 3 years. Total paid time off starts at ~5 weeks and includes PTO, 2 floating holidays, the week between Christmas and New Year, and 11 paid holidays.
